Background

Carolon is a family-owned and operated medical device manufacturer based in Rural Hall, North Carolina. Since 1975, the company has proudly manufactured medical-grade compression products in the USA, including anti-embolism stockings, vascular hosiery, and wound care systems.

Problem

Carolon had a strong product line and an established customer base, but its HubSpot system was too disorganized to support reliable sales follow-up, customer retention, or revenue visibility.

  • A cluttered CRM was weakening sales visibility. Thousands of duplicate contacts and companies made it difficult for leadership and sales reps to trust the data, manage accounts, or forecast accurately.
  • Outdated pipelines created missed opportunities. Deal stages were stale, inconsistent, and poorly maintained, leaving sales reps without a clear process for moving opportunities forward.
  • No automated accountability meant leads were slipping away. Sales reps had no assigned tasks, territory-based routing, lifecycle clarity, or customer check-in workflows to guide daily follow-up and protect retention.

Without a cleaner CRM, stronger sales process, and automated follow-up system, Carolon was leaving both new revenue and repeat business at risk.

Solution

We implemented a full HubSpot Sales and Marketing Hub optimization strategy designed to turn a messy CRM into a cleaner, more accountable, revenue-focused system.

Part 1: HubSpot Data Cleanup and Pipeline Reset

  • Cleaned the database at scale. Merged and removed thousands of duplicate contacts and companies so Carolon could work from cleaner, more reliable CRM data.
  • Rebuilt the sales pipeline structure. Deleted outdated pipelines and recreated streamlined deal pipelines that better reflected Carolon’s real sales process.
  • Added deal-stage accountability. Built required tasks and next-step actions for each deal stage so sales reps always knew what to do next.

Part 2: Lead Management and Sales Automation

  • Automated lead routing by territory. Segmented leads into organized lists and assigned them to the right sales reps based on territory rules.
  • Created retention-focused follow-up workflows. Built automated 60-day and 180-day customer check-in emails to nurture relationships, encourage re-orders, and protect existing revenue.
  • Triggered real-time sales action. Created instant notifications for high-interest leads and automated opportunity creation when a lead scheduled a visit.

Part 3: Inbound Marketing and Tracking

  • Launched targeted inbound campaigns. Built campaigns highlighting Carolon’s medical-grade compression hosiery, anti-embolism stockings, and wound care systems.
  • Defined MQL and SQL criteria. Clarified lifecycle stages so marketing and sales could hand off qualified leads with less confusion and more consistency.
  • Built leadership reporting dashboards. Created custom dashboards to track sales activity, call outcomes, completed tasks, meetings booked, and rep accountability.

Results

  1. Cleaner, more trustworthy CRM data. Carolon moved from a cluttered, duplicate-heavy HubSpot database to a cleaner system leadership could trust for sales tracking and forecasting.
  2. 100% automated lead management. Manual guesswork was replaced with automated lead routing, territory assignment, opportunity creation, and rep notifications.
  3. Stronger sales accountability. Sales reps gained clearer tasks, required next steps, and structured deal-stage actions to keep opportunities moving.
  4. Higher engagement and more booked meetings. Inbound campaigns, automated follow-up, and high-interest lead alerts helped increase prospect engagement and sales meeting bookings.
  5. Improved customer retention and repeat revenue. Automated 60-day and 180-day check-up emails created a consistent system for re-engaging existing customers and encouraging re-orders.
  6. Greater product visibility. Targeted inbound campaigns increased awareness of Carolon’s specialized compression hosiery, anti-embolism products, and wound care systems.

We Are Working transformed HubSpot into a structured sales system with cleaner data, streamlined pipelines, territory-based lead routing, automated follow-up, and clear next steps for every rep.
